# Use Brain as a lightweight CRM with your AI agent

Using one agent to record client calls and another to prepare for meetings? Switching between AI accounts? Keep your contacts, conversation history, and follow-ups in Brain so each connected agent can see what matters to the client and what you promised. Save updates to the same records as the relationship develops.

## Build your CRM with your agent

Your client context can stay together as you move between agents and accounts. Connect your agents to the same Brain account, then ask them to read the saved relationship history before helping with the next conversation or follow-up.

Copy this prompt to your connected agent. It will help you build a simple CRM around your own contacts, starting with one relationship.

You can start with an empty Brain account. The agent will help you create the structure you need, or reuse relevant areas and items if you have already saved some work.

### Try asking your agent

> Use Brain to build a simple CRM around my contacts, with relationship history my agents can share across AI accounts. Walk me through the setup one question at a time. Ask which agents I use for client work and what context they need. Check what is saved in my account. If I only have Inbox and no contacts, help me create my first client area and contact records from the details I provide. If I already have areas, contacts, projects, or notes, reuse the items that fit and help me fill in the gaps. Ask which relationships I want to manage and what I need to remember or follow up on. Help me choose one person to start with, then ask for their contact details, company if relevant, our current work, and any conversations or commitments worth recording. Suggest an area such as Clients, creating it if needed. Propose the person and business contacts, a project if we have an outcome to finish, dated notes for actual conversations, and follow-up tasks. Ask for any missing dates or details. Show me the setup, then create or update the items once we agree. Connect the contacts, project, notes, and tasks so my agents can find the same context. Finish by showing me what you saved and giving me a short routine for recording conversations, preparing for meetings, and reviewing follow-ups each week. Give me a short instruction I can use with each connected agent to read the current client context before starting and save conversation notes, decisions, and follow-ups when we finish.

## Set up your client work

| What to keep track of | Where to put it |
| --- | --- |
| Your ongoing client relationships | An area called Clients |
| People and companies | Person and business contacts |
| An outcome you are working toward | A project named for the outcome you agreed with the client |
| A conversation or decision | A note attached to the contact or project |
| A commitment or follow-up | A task with a planned date or deadline |
| Who is involved in the work | Related to connections between contacts, projects, tasks, and notes |

Once your agent has helped you set up the contacts and work, use the prompts below to record conversations, prepare for meetings, and review follow-ups. Add the contact details you use and connect each person to their company and shared work.

## Start with one of your contacts

Choose someone you are working with now. Your agent can help you bring their contact details, conversation history, and next commitment together in Brain.

### Try asking your agent

> Help me organize one client relationship in Brain. Ask who I want to start with, their contact details, company if relevant, our current work, and any conversations or commitments to record. Check for matching contacts, projects, tasks, and notes. If I have no client area yet, help me choose one to create; otherwise, reuse the area that fits. Propose any missing contacts, a project if there is an outcome to finish, a dated note if we have had a conversation, and the next follow-up task. Ask for the actual conversation date, planned follow-up date, and any agreed deadline. Show me the plan, then create or update the items once we agree. Connect the relevant contacts, project, note, and task, and show me what you saved.

## Turn a conversation into a follow-up

Give your agent the call summary and ask it to update the existing client context. Save what matters: the client’s priorities, the decisions made, and the commitments on both sides.

Date the note for when the conversation happened, even if you enter it later. Put the promised action in a task so it appears in your work plan.

### Try asking your agent

> Help me record a client conversation in Brain. Ask who I spoke with, when it happened, what mattered to them, what we decided, and what each of us promised to do next. Check for matching contacts and related work. Reuse them if they exist; otherwise, propose the missing contacts and an area or project for this work. Show me a proposed dated note and follow-up tasks, ask for any missing dates or deadlines, then create or update the items once we agree. Connect the note and tasks to the relevant contact and project, and show me what you saved.

## Prepare for the next conversation

Open the contact’s page to find their related work, or use [Explore graph](/guides/agents-and-graph/) to move between the contact, company, project, and notes. Ask an agent to turn that context into a short meeting brief.

The agent that prepares the brief can be different from the one that recorded the call. [Connect it to the same Brain account](/support/) and ask it to read the saved notes and tasks first.

### Try asking your agent

> Prepare me for my next client conversation. Ask who I am meeting with, then read their contact, connected projects, conversation notes, and open follow-ups in Brain. Summarize what matters to them, what we agreed, what I owe them, and the questions to resolve. Show the relevant items.

## Review your client commitments

Once a week, review open tasks in your client area and its projects. Look for overdue promises, upcoming deadlines, and conversations that need a next step.

For a response you are waiting on, make a task that names the person and the response you need. Connect it to the contact and set a planned date for checking in. Keep the project’s current stage in its notes so your agents can see where the work stands.

### Try asking your agent

> Help me triage my client follow-ups in Brain. Check which client contacts, areas, projects, notes, and tasks I have saved. If I have not set up client work yet, help me choose one relationship and create its area, contact, and next follow-up first. If I already have client work saved, read the open tasks and related context. List commitments due soon or overdue, responses I am waiting for, and conversations that need a next action. Help me choose the follow-ups for this week. Ask for missing dates, propose any missing areas or projects, then save the agreed tasks or updates and connect them to the relevant contacts. Summarize what changed.

## Keep a useful history of the relationship

After each meaningful conversation, save a short note and the next action. Record changed priorities and the reasons behind decisions. Those details make the next briefing more useful than a list of completed tasks.

Use your email app or an agent’s email connection to send a follow-up, then record the outcome in Brain. If you use several agents, ask each to update the same contacts and projects as the work progresses.

This setup is a personal workspace for managing your client relationships. If colleagues need a shared sales pipeline and reporting, a team CRM is a better fit.
